Job Summary:
The Senior Administrative Specialist will provide high-level administrative and operational support across directorates, ensuring efficient workflow, acquisition coordination, and compliance with required protocols. This role involves managing classified/unclassified materials, supporting acquisition documentation, coordinating taskers, and facilitating executive-level operations.
*Contract Award Contingency: This position is being advertised in anticipation of a potential contract award and is contingent upon the successful award of that contract to our organization. If the contract is not awarded, this position will not be filled.
Job Duties/Responsibilities (List not all inclusive):
- Manage workflow systems and tasker tracking across directorates
- Provide acquisition support including documentation (i.e., purchase requests, customer service request documents, and justifications & approvals)
- Maintain training records, file plans, and correspondence
- Coordinate onboarding, travel orders, and meeting logistics within appropriate systems
- Serve as Records Custodian and manage document lifecycle
- Support executive meetings, protocol, and internal communications
- Create reports, charts, and visuals for leadership briefings
- Train staff on workflow systems and administrative tools
- Other relevant duties as assigned

- Strong organizational & problem-solving skills
- Familiarity with acquisition processes, documentation, and compliance standards
- Knowledgeable on supporting government or military administrative operations
- Ability to manage classified materials in accordance with security regulations
- Highly proficient with MS Office Suite (SharePoint, Word, Excel, Outlook, PowerPoint, and Visio)
- Meets U.S. citizenship and work eligibility requirements for federal contractors
- Must possess or be able to obtain and maintain DoD Secret level clearance, if required
- Bachelor’s Degree (Master’s preferred) from an accredited college or university, in a relevant field such as Business Administration, Public Administration, or related discipline
- A minimum of 10 years of relevant experience in administrative support, with at least 5 years supporting senior-level management or acquisition functions in a government or military environment

Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer
- Manual dexterity sufficient to operate a computer keyboard, mouse, and other office equipment
- Visual acuity for close work, such as reading on screens and in print and working on a computer
- Occasional lifting of materials or equipment weighing up to 20 pounds
- Ability to communicate effectively, both verbally and in writing, in a professional office environment
- Sufficient physical ability to move about the workspace to attend meetings, access files, and perform other job-related tasks
